A defensible framework for digital asset management ROI
Do not begin with a borrowed percentage. Measure the work your organisation performs today, then test how a governed media path changes it.
Establish the operational baseline
Sample representative requests and record the effort involved in finding, preparing, approving, and delivering media. Include waiting time between teams, repeated transfers, duplicate exports, and requests that fail because the asset cannot be found or cleared.
Use ranges when the process varies and keep the source of each assumption. A modest baseline observed inside the organisation is more credible than an impressive industry statistic with no connection to the workflow.
Separate value into clear categories
Discovery value comes from finding usable assets and moments faster. Production value comes from reducing transfers and duplicate preparation. Reuse value comes from making approved media available again. Distribution value comes from serving more destinations through the same governed source.
Governance value includes controlled access, expiry, audit, and fewer unmanaged copies. Infrastructure value may include systems or storage paths that can be simplified, but only count savings that the organisation can realistically remove.
Model benefits without double counting
The same saved handoff cannot appear under both production and distribution. Define the unit, volume, owner, and evidence for every line in the model. Keep one-time migration and implementation costs separate from recurring platform and operating costs.
Include adoption. A capability creates value only when the relevant team uses the governed path. Model a conservative ramp rather than assuming every asset and user changes on launch day.
Include strategic options carefully
A searchable archive can support new editorial packages, partner services, OTT availability, or commercial reuse. Treat those as scenarios with named owners and prerequisites rather than guaranteed revenue.
The public API can also protect existing investments by connecting the library to websites, applications, and internal systems. The value is not the API itself; it is the workflow the organisation can retain or create with it.
Validate the case with a controlled workflow
Run a proof of concept against the same baseline requests. Record what changed, what did not, and where new effort appeared. The result should update the business case, not merely confirm it.
Continue measuring after launch using operational data the team understands. The strongest ROI story is a set of completed workflows with traceable assumptions, not a universal percentage.

FAQ
How is DAM ROI calculated?
Compare the current cost and outcome of representative workflows with the governed future path, including implementation, migration, platform, adoption, and ongoing operating costs.
Which DAM benefits are easiest to measure?
Discovery time, repeated transfers, duplicate preparation, request completion, destination handoffs, approved reuse, and systems retired are often measurable with internal samples.
Should revenue opportunities be included?
They can be included as scenarios, but each needs an owner, prerequisites, and conservative assumptions. Do not present an untested opportunity as a guaranteed return.
